Creative Project Coordinator

PURPOSE:
To ensure on-time, quality deliverables by setting and managing timelines, editing processes and partnering with members of the department on projects to support the company’s key messages, brand strategies, community visibility and audience development goals

 

EDUCATION:

  • Bachelor’s degree from an accredited college or university (preferred) or equivalent work experience

EXPERIENCE:

  • Minimum two years related experience or equivalent combination of education/training and experience. Experience in a not-for-profit working environment preferred

PREREQUISITE SKILLS & REQUIREMENTS:

  • Experience with print production, graphic design and direct mail preferred
  • Experience with social media content creation and engagement
  • Experience with HTML formatting and Email marketing tools preferred
  • Excellent proofreading skills; strong attention to detail
  • Superior customer service skills
  • Ability to track financial expenditures
  • Working knowledge of Microsoft Office products
  • Familiarity with CRM programs, Tessitura preferred
  • Ability to thrive in a fast-paced, rapidly changing environment
  • Outstanding interpersonal skills including the ability to interact with artists, staff, the public, and volunteers in an effective, professional, confidential and tactful manner
  • Ability to communicate clearly and effectively, both orally and in writing
  • Preferred knowledge of Chicago Manual of Style or Associated Press style guides
  • Ability to work independently; prioritize tasks; and exercise good judgment and initiative
  • Work well in a team setting
  • Familiarity with operatic repertoire and artists (preferred)
  • Ability to work some evening and weekend hours
  • Must perform the functions of the position in a safe manner

 ESSENTIAL JOB FUNCTIONS:

  • Contribute as an active part of the marketing and communications department supporting all audience development, patron retention, advertising and promotional strategies to meet institutional goals
  • Support and contribute to the comprehensive marketing campaign to generate over $20M in ticket sales
  • Develop and manage project timelines for all graphic, digital, publication, and advertising projects within the organization to meet all printing and publishing deadlines
  • Create, manage and coordinate production schedules for department collateral and promotional campaigns
  • Understand project requirements and proposals to ensure appropriate scope and deliverables are identified and understood by all participants
  • Works with content creators to ensure timely execution of all projects
  • Coordinate routing of department materials for internal and external editing and proofing
  • Responsible for compiling edits and relaying them in a clear and timely fashion to the Graphic Designer
  • Supports Graphic Designer in managing external vendors such as free-lance designers, printers, mail house, outside creatives, etc
  • Manage production of integrated creative projects for web design, photography, and videography, ensuring output meets business objectives and budget requirements
  • Coordinates routing of e-mail and digital creative for the department including capturing edits and relaying them to the Web and E-mail Manager
  • Manage project budgets and timelines as directed by project sponsor
  • Prepare design, printing, and digital invoices for processing; maintains budget ledgers
  • Prepare and deliver status updates to Graphic Designer and department
  • Proactively identify and prioritize risks, creating plans to resolve each without impact to the overall projects
  • Create high-level, detailed schedules and timelines to ensure quality, on-time deliverables
  • Consistently work to improve the department’s processes, tools, documentation, asset management, etc. to ensure the team is working at optimum efficiency and happiness
  • Traffics and supports all digital and graphics job requests

SECONDARY FUNCTIONS:

  • Research opera repertoire, photographs, production and artist reviews. Build and extract lists from Tessitura for mailings, emails, digital campaigns, and list trade fulfillment
  • Assist with support and implementation of promotions designed to develop a new audience
  • Keep supply of all marketing collateral current and available on display on and off site at various locations in the surrounding area
  • Attend performances; represent the department at performances and events as requested
  • Maintain digital archives of marketing collateral and promotional files as well as archiving of marketing collateral, including samples from other arts organizations, magazines/print media and vendors
  • Provide basic administrative support to the department
  • Perform other job-related duties as assigned
