Opera Guild-Special Events & Marketing Associate

PURPOSE:
To provide administrative and organizational support to the Director of Special Events, Managing Director and Board, and to oversee the volunteer program

EDUCATION & EXPERIENCE:

  • Bachelor’s degree from an accredited college or university
  • Special events and marketing experience / non-profit arts background preferred
  • General administrative and organizational work experience

PREREQUISITE SKILLS & REQUIREMENTS:

  • Excellent customer service and problem-solving skills
  • Ability to work collaboratively and diplomatically in a team; to establish effective working relationships and interact effectively with a wide range of personalities and working styles
  • Must be able to set priorities, coordinate multiple projects simultaneously, meet firm deadlines
  • Ability to thrive in a fast-paced, rapidly changing environment
  • Outstanding interpersonal skills including the ability to interact with Board of Directors, major donors, staff, volunteers, and the general public
  • Ability to communicate clearly and effectively, both orally and in writing
  • Ability to work with accuracy and attention to detail
  • Must be able to work in a flexible schedule, including some evenings and weekends as dictated by events
  • Must maintain a high level of confidentiality
  • Proficiency in Word, Excel and Outlook and an understanding of Google Docs / general database programs
  • Proficiency with graphic design software preferred
  • Must perform the functions of the position in a safe manner

 ESSENTIAL JOB FUNCTIONS:

SPECIAL EVENTS

  • Provides support to Director of Special Events
  • Assists with event production
  • Works with Director of Special Events on coordinating design and production of collateral materials
  • Responsible for processing and tracking event reservations
  • Manages guest seating logistics
  • Assists with the solicitation, procurement, processing, and coordination of auction items for events

MARKETING AND SOCIAL MEDIA:

  • Supports key marketing and communications initiatives and programs
  • Executes social media strategy including content creation for Facebook, Instagram, Twitter, YouTube, etc.
  • Coordinates website updates
  • Implements new donor stewardship strategies

ADMINISTRATIVE SUPPORT:

  • Generates correspondence, event and board mailings and other assignments
  • Prepares materials for monthly board meetings, and coordinates meeting logistics
  • Records minutes at various committee meetings
  • Maintains databases for events, volunteer and board activities

VOLUNTEER PROGRAM MANAGEMENT:

  • Coordinates and trains volunteers/staff for Guild events
  • Oversees volunteer program coordinators
  • Plans and produces annual volunteer reception
  • Assists at dress rehearsals
