ADMINISTRATIVE ASSISTANT
EDUCATION DEPARTMENT
(Full-time)


DESCRIPTION
The Administrative Assistant provides assistance within the Education department; and administrative duties between the department and other departments within the Company and outside partners.  The Assistant will work closely with the Director of Education and Education Program Associate.

DISTINGUISHING FEATURES
This is an exciting opportunity to come in on the ground-level of a newly-designed and growing department that provides multiple options of high quality opera education for adults, students, educators and families.  This position will provide crucial support for all programs, with a large percentage of time being spent administrating the K-12 school programs.

EXAMPLES OF DUTIES (Illustration only - not all duties are included)

  • Communicates with teachers and teaching artists to schedule opportunities for schools to take advantage of opera resources such as dress rehearsals, Opera House tours, costume and scene shop visits and composer, visual artist, and performer guest artist classroom visits.
  • Serves as department representative with certain opera resources (i.e. tours of the Opera House, scene shop visits, Adler visits) and facilitates on-site activities through effective organization, time management and instruction.
  • Assists with creation and posting of online Educator Materials by working with teacher committees to gather, brainstorm, and record ideas for curriculum connections and resource materials.
  • Processes RSVPs for various education programs including professional development sessions, dress rehearsals, adult workshops, family events and university events.
  • Prepares materials and coordinates logistical details for all education events and programs. Also provides assistance with set-up, check-in and other duties as required day-of.
  • Assists with processing and evaluating applications for education programs.
  • Collaborates with community partners (i.e. school district personnel, other arts organizations, senior centers) and internal partners (i.e. Production and Marketing Departments) in implementing programs.
  • Manages the Education Department’s contact and event database using Excel and Tessitura.
  • Handles the Department payroll including processing timesheets and documenting Teaching Artist hours and submits invoices with the Finance Department.
  • Processes Teaching Artist hiring paperwork with the Human Resources Department.
  • Provides occasional clerical support to the Education Director.
  • Represents the San Francisco Opera in arts and education communities.
  • Special projects and other duties as assigned.

MINIMUM QUALIFICATIONS

Education and Experience:
Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying.  Typical qualifications would be equivalent to:

  • Bachelor's degree from an accredited college or university (preferred) 
  • 1 year arts administration experience (preferably in arts education)
  • The desire to pursue a career in arts and/or arts education administration (preferred)

Knowledge, Skills and Abilities

Knowledge of:

  • Opera and/or the performing arts (preferred)
  • School systems, Kindergarten – University (preferred)
  • Bay Area arts education community, education institutions, and school systems (preferred)

Skill in:

  • Planning, organizing, and coordinating people and events
  • Microsoft Office (especially Word, Excel, Outlook, and PowerPoint)
  • Database systems (Tessitura preferred)
  • HTML

Ability to:

  • Communicate tactfully, professionally, effectively, and accurately both orally and in writing
  • Establish working relationships and interact in a professional manner with a wide range of people
  • Work independently and resourcefully to complete assigned tasks with minimal supervision; and work as a member of a team
  • Complete projects with a high degree of accuracy, detail, and timeliness; and handle multiple projects simultaneously by accurately setting priorities
  • Work occasional evenings and weekends
